Wouldn’t you love to know the true costs of your office spaces? Instantly see which areas are underutilized so you can make adjustments?

Good news: If you’re using an integrated workplace management system (also known as IWMS software) you’re already have this data at your fingertips. You just may not know how to access it.

The iOFFICE Insights module makes it easy to see the real-time data you need to understand your workplace so you can make more informed decisions and justify them.

Here three ways you can use it to maximize your investment in IWMS software.

Customize Your Data Dashboards

Thanks to the Internet of Things, the average workplace is able to collect a mind-boggling amount of data. By 2020, more than 20 billion devices will be connected to the Internet, accounting for almost half of all Internet traffic.

This can quickly become overwhelming for the average workplace leader. Setting up custom dashboards allows you to see only the information that’s most relevant to you and filter out the rest.

For instance, if you’re a corporate real estate leader, you can set up a dashboard within your IWMS software that shows you:

  • The number and locations of properties being leased
  • Monthly and yearly lease obligations
  • Lease abstracts—including contract dates, renewal options and monthly payment
  • Utilization at building- and portfolio-level
  • Total capacity vs. actual occupancy

Similarly, a facilities manager can set up a dashboard that shows them:

  • The number of work orders by request type
  • Number of work orders for reactive maintenance v. scheduled maintenance
  • Maintenance costs by building
  • Which assets and buildings have required a higher than average number of service requests

Use Charts

When you’re trying to explain a complex topic to someone, it’s often much easier to draw them a picture. Charts allow you see a visual representation of your IWMS software data so you can have a clearer view of what’s really going on. You can also use these charts to illustrate important concepts to your boss. For instance, if you’re trying to make the case for adding another employee to your maintenance team, you can create a chart that shows maintenance requests have doubled in the past year.

Once you’ve created a chart, you can explore it in greater detail using interactive features in the iOFFICE Insights module, such as zooming in on a certain area.

Create Custom Reports

Custom reports are a powerful tool for seeing and sharing data from your IWMS software in real time. And creating them is easier than you think. Just click on the Reports module icon and select the module from which you’d like to pull data.

You can then click on the fields you want to show, such as the number of occupied work stations, and apply filters to search by building, floor or department.
